Building Rental

 
The board of trustees of the Museum Association has, from time to time, allowed the Douglas County Museum facility to be rented out for private functions. The rules on such use of the building are strict, as can be seen from the rental agreement below which each contracting party must sign prior to using the building. Museum bookings are made through one Douglas County Museum staff member only: Lynnita Brown, Director, Douglas County Museum, 700 S. Terms of Rental - Douglas County Museum

Effective date: October 1, 2007
by official board action

The undersigned person agrees to the following terms with regard to the rental of the Douglas County Museum facility:

  1. The cost of renting the Douglas County Museum for one day is $150.00 for members and $250.00 for  non-members.  The fee is due at the time this contract is signed, along with a refundable damage deposit in the form of check or cash for the same amount.  In the case of a for-profit event, the renter must pay the extra sum of $6.00 each hour past regular museum hours to pay a staff member to monitor conditions.

  2. "One day" rental is a 24-hour time period.  However, if there are no functions and the museum is not open the day prior to and after the scheduled event, the museum may be accessed at no extra cost (through prior arrangements with staff members) for purposes of decorating and/or delivering supplies only.

  3. The rental of the museum includes kitchen privileges and access to the museum's supply of serving bowls and trays, silverware, glasses, cups and saucers, coolers, coffee makers, roasters, etc.  Our staff maintains the museum's electrical appliances to the best of its ability, but the Museum Association is not responsible for the working condition of roasters and appliances.

  4. The renter is responsible for cleanup of the kitchen, including sweeping and mopping the floor, washing all dishes, cleaning all appliances, cleaning the sinks, etc.  The stove and vent above the stove must be turned off before the renter leaves, and all small appliances other than the microwaves must be unplugged.  If the renter does not know the rightful location of dishes, etc. in the cabinets, the renter should leave all museum-owned items on the center cabinets.  The renter must remove all trash from the premises, placing it in the trash receptacle behind the building.

  5. The rental of the museum includes use of the museum's banquet tables and folding chairs.  The renter is responsible for the set-up and breakdown of tables for their event.  Tables and chairs must be handled in such a manner as not to damage them.  They must be returned to their storage racks in the proper manner.  Trash must be removed from the banquet area and the floor must be swept and mopped.  Failure to complete cleanup before the museum next opens for business will result in loss of the damage deposit.

  6. The museum's main hall serves a dual purpose as an exhibit area and banquet hall.  Care of museum-owned or public-loaned artifacts is a priority of the Museum Association.  At no time may renters or their guests access, deface, or move museum showcases.

  7. Renters are responsible for: decorations, table cloths, cleaning supplies, paper towels, etc.

  8. Political signs are forbidden on the exterior of the museum building, including on museum windows, on doorways, on exterior walls, on poles and other structures and features in or near the parking lot, or on the grass boulevard located north and east of the museum property.  If the renter is a political party, indoor signage is permitted only during actual hours of the function for which the museum was rented.  No portion of the interior of the museum may be defaced by the posting of such signage with adhesives.  Violation of this provision of the rental agreement will result in forfeiture of the damage deposit.

  9. The serving of alcoholic beverages on the premises of the Douglas County Museum is forbidden, and smoking is also not allowed.

  10. Children of all ages must be under the direct supervision of a responsible adult.

  11. The trustees of the Museum Association will not tolerate running, profanity, physical or verbal abuse of staff or visitors, access to restricted areas, or destructive behavior on the premises.

  12. The staff of the Douglas County Museum is responsible for opening and closing the building to renters.  The renters cannot have a key to the museum or know the combination to the alarm system.  A museum staff member must be present during all hours of the rental time period.  If a renter requests that a staff member meet him or her to open the museum at a designated time--and then does not show up at that appointed time, the amount of $50 will be deducted from the damage deposit for each missed appointment.

  13. The Douglas County Museum is available for rent only to the following: (a) not-for-profit organizations (b) individuals or parties celebrating life milestones, such as weddings, birthdays, anniversaries, funerals, etc.  Any other type of rental must be brought before the board of trustees for approval.

  14. Due to fire code regulations, the number of persons allowed for any function cannot exceed 200 if tables and chairs are used.

  15. The renter is responsible for any and all repair fees in the event that damage occurs to ANYTHING on Museum Association property (inside or outside) during the time of rental.

  16. The renter agrees to hold the Museum Association whole and harmless from all claims, injuries, bodily injury, property damage, actions and causes of actions accruing to or sustained by any person on the museum property during the term of rental, except any such claims or injuries arising due to negligent or willful acts or omissions of the Museum Association or its agents, servants, or employees.  The renter agrees to pay all reasonable costs incurred by the Museum Association, including reasonable attorney fees, resulting from such claims, injuries or actions.

  17. If any of the terms of this contract are broken by the renter, the trustees of the Museum Association and its designated authorities may terminate the contract without further notice, request that renters and their guests leave the premises, and retain the rental fee and damage deposit.  Police may be called to the museum if circumstances require such measures be taken to protect the museum, its staff, or its artifacts.

  18. The rental fee is waived if the museum staff is the contracted caterer.  The refundable damage deposit is not waived, but may be paid in the form of a check that will not be cashed unless damage occurs.

  19. The museum staff person on duty has the ultimate authority to protect museum property, artifacts and staff from any act that violates the terms of this agreement.

  20. All terms of this agreement will be strictly enforced.

By signing this contract, I attest that I have read the terms of this agreement and that the organization that I am authorized to represent or I agree to abide by and accept responsibility for each and every one of the above terms.
